Department Temporary Permit Procedures

Non-dated Departmental Temporary Permits:

    Departments are limited to two non-dated permits per day for their visitors.  Employees and students are not to use these permits for their parking needs.

  • Ordering Permits

    When ordering permits, allow at least one week for processing. In order to avoid mailing delays and the potential for loss, departments must pick up all orders at either the 21 N. Park Street or WARF Transportation Services office.

    Non-dated temporary permits for guests and visitors are only valid in the following lots: 
     

    * Lot 7  – Grainger Hall
    * Lot 17 – Camp Randall & Engineering Hall
    * Lot 20 – Genetics & McArdle
      Lot 36 – Steenbock Library
    * Lot 46 – Lake & Johnson
      Lot 59 – Walnut & Observatory
      Lot 76 – Nielsen Tennis Stadium
      Lot 83 – Fluno Center
      Lot 91 – East of Kohl Center

    * These gated lots require 24-hour advance notice for the gate activation system. 

    Magnetic stripe activation requests must be faxed or e-mailed by Noon the business day prior to the permits being used.  If notification is not received, the gate card will not be activated and the customer will not be able to access the lot. 

    Transportation Services is not able to activate gate cards the day of your request, so please plan ahead.

    Departmental temporary permits are not valid in lots being used by Special Events (football, concerts, etc).

    If you have special circumstances or questions regarding Special Event dates, please call us in advance.

  • Date Stamping Procedures

    Permits are to be stamped using a #4 size date stamp.  A valid date stamp must be purchased from our office for $30 (this covers the cost of the stamp). Handwritten dates are not valid.  Date stamps that are too small or illegible will not be accepted and may result in a citation.   If you mis-stamp a permit, do NOT change or alter the dates.  This will result in an altered/counterfeit permit citation and a possible tow ($225 fine).

  • Magnetic Stripe Activation

    Lots 7, 17, 20 & 46 require the magnetic stripe on the back of the permit to be activated.  The magnetic stripe will NOT be activated when you receive the permits.  To activate the magnetic stripe, please fax the following information to our office at 265-3424:

    Lot number
    Permit number(s)
    Date valid
    Time period valid (All Day, AM, PM)
    Your Name, Dept. & phone number

    or

    E-mail your request for activation to:

    There may be times when the attendant is not available in lots 7, 17, and 20; therefore, Transportation Services is unable to disperse permits from the booth at any time.  Please allow enough time to disperse your permits in the mail or with your own staff. 

  • Exchanges or Returns

    Please issue your permits carefully.  We do not exchange or refund non-dated permits.  This includes mis-stamped or unused permits.

Procedures for Unused or Lost Special Event Permits:
  • Exchanges or Returns

    In order to better serve our customers by managing lot utilization, unused permits must be received in our office at least two FULL working days prior to your event to receive a 50% refund. A 50% handling charge will be applied.  Permits that are not picked up or returned less than two FULL working days prior to your event will be non-refundable.

    Please contact Transportation Services at (608) 262-8683 to let us know that you will be returning permits so we can properly credit your account.

    Permits left at home/office, lost or stolen are not replaceable. A new permit would need to be purchased.

  • Replacements

    Please handle your permits carefully as forgotten or lost permits are not replaceable. If you purchased a permit but never received it in the mail, call our office at (608) 262-8683  (please make sure to check with your office to see if the permit arrived after you left).
